lug.ie Member Reporting & Resolution Process

1. Purpose

lug.ie is committed to providing a welcoming, respectful and inclusive community for adult LEGO fans of all backgrounds.

This process provides members with a clear and confidential way to raise concerns, report inappropriate behaviour, or report potential breaches of the lug.ie Code of Conduct or other community expectations.

Our aim is to ensure that concerns are handled fairly, consistently and respectfully, while protecting the privacy of those involved wherever possible.

2. What can be reported?

Members can raise concerns about, for example:

* Potential breaches of the lug.ie Code of Conduct.
* Harassment, bullying, discrimination or threatening behaviour.
* Inappropriate or offensive content or communications.
* Behaviour that makes another member feel unsafe or unwelcome.
* Disputes or conflicts between members that cannot be resolved informally.
* Misuse of lug.ie community groups, events or other community channels.
* Concerns relating to the behaviour of a community organiser, administrator or other person acting on behalf of lug.ie.
* Any other matter that a member believes requires the attention of the lug.ie community admin team.

Members do not need to determine whether an incident technically breaches the Code of Conduct before reporting it. If something concerns you, you are welcome to raise it with us.

3. How to report a concern

Concerns should normally be raised privately with the lug.ie admin team rather than being posted publicly in a community group.

A report can be made by contacting the lug.ie admin team by emailing lug.ie.info@gmail.com

Where possible, members should provide:

* A description of the concern.
* The date and approximate time of the incident.
* The people or community channels involved.
* Any relevant messages, screenshots, photographs or other information.
* The names of any witnesses, where relevant.
* Any action the member believes would help resolve the issue.

Members should not feel that they need to gather evidence before making a report. The admin team will determine what further information is required.

Reports made in good faith will be treated seriously and members will not be penalised simply for raising a concern.

4. What happens after a report is made?

The lug.ie admin team will acknowledge receipt of the report where the reporting member has provided contact details.

The matter will then be assessed to determine:

1. Whether it falls within the scope of the lug.ie community.
2. Whether any immediate action is required.
3. Whether further information is needed.
4. Whether the matter can be resolved informally.
5. Whether a more formal review or investigation is appropriate.

Where appropriate, the admin team may speak separately with the people involved and review relevant messages, posts, photographs or other information.

The person who is the subject of a complaint will normally be given an appropriate opportunity to explain their position before a decision is made. This may not be possible in every situation, particularly where there is an immediate safety or safeguarding concern.

5. Fair and consistent handling

lug.ie will seek to handle reports fairly, objectively and consistently.

The admin team will consider the circumstances and available information rather than automatically assuming that a complaint is either proven or unfounded.

Where a concern involves a member of the admin team, that person will not normally be involved in deciding the outcome of the matter.

For more serious or sensitive matters, lug.ie may involve more than one member of the admin team in reviewing the issue.

6. Possible outcomes

Depending on the circumstances, possible outcomes may include:

* No further action where a concern is not substantiated.
* Informal discussion or mediation between the people involved.
* Advice or a reminder of the community’s expectations.
* A formal warning.
* Removal of inappropriate content.
* Temporary restriction from particular community channels or activities.
* Suspension or removal of membership or participation in lug.ie activities.
* Referral or escalation to an appropriate external organisation or authority where the circumstances require it.

The action taken will depend on the nature and seriousness of the issue, the available information and any previous relevant behaviour.

Not every report will result in disciplinary action.

7. Confidentiality and privacy

lug.ie will treat reports sensitively and will make reasonable efforts to protect the confidentiality of the people involved.

Information relating to a report will only be shared with people who need the information to help assess, investigate or resolve the matter.

However, confidentiality cannot always be guaranteed. For example, it may be necessary to share relevant information with another person involved in resolving the matter or, in serious circumstances, with an appropriate external organisation or authority.

Members should also avoid discussing an ongoing complaint publicly, as this can make it more difficult to resolve the matter fairly and can unnecessarily involve other community members.

8. Urgent, safety and safeguarding concerns

If a concern involves an immediate risk to someone’s safety, serious harassment, threats, suspected abuse, or another matter requiring urgent intervention, members should make this clear when reporting it.

Where appropriate, lug.ie may take immediate steps to protect members or restrict access to community spaces while a matter is being reviewed.

Where a matter is beyond the ability or responsibility of lug.ie to deal with, we may recommend or make an appropriate referral to the relevant organisation or authority.

9. Appeals and requests for review

Where a member disagrees with the outcome of a report, they may request that the decision be reviewed.

An appeal should explain why the member believes the decision should be reconsidered and should normally identify any relevant information that was not previously considered.

Where practical, the review will be carried out by a different member or members of the lug.ie admin team who were not directly responsible for the original decision.

The purpose of an appeal is to ensure that decisions are fair and that significant new information or errors in the original process can be considered.

10. Record keeping

lug.ie may maintain a confidential record of reports received, actions taken and outcomes reached.

Records will be limited to information reasonably required to manage the matter and maintain appropriate community governance.

Information from reports will not be shared publicly unless there is a legitimate reason to do so.

11. Good-faith reporting

Members are encouraged to raise concerns where they believe something is wrong.

A report does not need to be proven in order to be made, and members who raise concerns honestly and in good faith will not be penalised simply because a concern is ultimately found not to be substantiated.

However, knowingly making malicious, deliberately false or deliberately misleading reports may itself be considered a breach of the lug.ie Code of Conduct.

12. Our commitment

lug.ie is committed to dealing with community concerns respectfully, fairly and consistently.

We recognise that disagreements and difficult situations can arise in any community. Having a clear reporting process allows concerns to be raised privately and gives the community admin team an appropriate framework for reviewing and resolving them.

Members who have a concern are encouraged to raise it rather than allowing an issue to escalate or become a public dispute within the community.
